Privacy and security of your data is a priority for the FENIKS team. We actively implement security rules, minimize the amount of personal data processed, conduct internal team training, consult with experts, maintain a data processing register, and assess the possible negative effects of data processing. In this document, we explain how we use the personal data that we collect from you when you use our website, cooperate with us, receive information or assistance from us, or participate in our activities.

We may collect the following data:

  • Personal identifying information (name, date of birth, place of residence, passport details, etc.)

  • Contact information (messenger contact, email address, phone number, etc.)

  • Description of personal story, which was the reason for contacting us

  • Information about professional competencies (CV, diplomas, certificates, etc.)

  • Photos from events

  • Metadata and website usage data (IP address, pages visited, session duration)

 

How do we collect your data?

You directly provide our organization with most of the data we process. We collect and process data when you:

  • Visit this website. The analytics system in your browser registers session data by using cookies.

  • Fill out non-anonymous questionnaires and forms.

  • Contact us on messengers.

  • Subscribe to our newsletter, or participate in our events

  • Send us a description of your story when you ask for help

When explicitly stated, we may obtain additional data about you from the sources you have provided for verification purposes.

 

What data do we not process?

We do not request medical data. Nor do we collect information about the content of communication with the therapist, which is protected by professional secrecy.

 

How will we use your data?

FENIKS collects your data so that we can:

  • Analyze visitors' interactions with our website

  • Send a newsletter and analyze how recipients interact with it

  • Maintain communication with you at your request and in your chosen way

  • Verify that your case study meets our criteria for providing a free service

  • Select a professional for psychosocial support following your request

  • Enable your participation in our online and offline events

  • Check whether qualifications meet our requirements for collaboration

  • Negotiate contracts and pay for services

 

What is the legal base for processing your data?

To ensure that we are lawfully processing your data, we rely on one of the following grounds listed in Article 6 of the GDPR:

  • Your consent to the processing of your personal data for one or more specific purposes. You may withdraw the consent you have previously given at any time;

  • Performance of a contract (including implied contract) in which we act as service providers and you are a party. This ground is also used to implement the steps preceding the conclusion of the contract;

  • Our legitimate interests, unless your interests or fundamental rights and freedoms override such interests;

  • The need to fulfill a legal obligation imposed on us (tax obligations, court orders, etc.).

 

How do we store your data?

FENIKS is committed to strict security rules regarding personal data. We regularly train our employees and conduct overall security assessments with the help of external experts. We choose reliable data processing services in the jurisdiction of the European Union or the United States.

For each data category, we set a retention period based on the purpose of processing legal or contractual restrictions. As a rule, this period does not exceed 7 years. After this period, we will delete the data that identifies you. If you see a need to do so sooner, please send a data erasure request to community@feniksteam.org.

 

Who do we share your personal information with?

Squarespace - our website is built on the Squarespace platform and hosted on Squarespace servers in the USA. You can find more information about the protection of user data by clicking here.

Google - we use Google Inc. cloud services to process your information. More information can be found in Google's privacy policy.

Mailchimp - this is a service for carrying out newsletters. The email addresses of our newsletter recipients and other information from the newsletters are stored on Intuit servers in the USA. Information about MailChimp's data protection can be found at this link.

KoboToolbox - we use this service to collect information through anonymous feedback questionnaires. Details on how KoboToolbox processes your data can be found at the link.

What are your data protection rights?

Each user can exercise one or more rights at any time:

  • Right of access. You have the right to know what data we process about you and to request copies of your personal data from us.

  • Right to rectification. You have the right to request that we correct or complete any information about you that you believe is inaccurate or incomplete.

  • Right to erasure. You have the right to require us to delete your personal data under certain conditions (for example, we may not be able to delete information if its retention is required by law).

  • Right to restrict processing. You have the right to request that we restrict the processing of your personal data under certain conditions (for example, before we decide to delete it or if deletion of the data is undesirable for any reason).

  • Right to object to processing. You have the right to object to the processing of your personal data under certain conditions.

  • Right to data portability. You have the right to request that the data we collect be transferred to another organization or directly to you in a commonly used machine-readable format under certain conditions.
